1. Overview

LifeOS™ ("LifeOS", "we", "us") is an AI-powered life and venture management platform operated by Venturis 13 and available at venturis13lifeos.com. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have — including how we handle data you grant us access to through your Google account, your Microsoft 365 account, and your Shopify store.

By using LifeOS, you agree to the practices described in this policy. If you do not agree, please do not use the service.

2. Information We Collect

Account information

When you sign in with Google, we receive your name, email address, and profile picture to create and secure your account.

Content you provide

LifeOS stores the content you create or upload while using the platform: goals, tasks, budgets, ventures, documents, chat conversations with our AI assistants, and meeting recordings and transcripts you choose to capture.

Usage and device information

We collect standard technical information such as log data, IP address, browser type, and pages visited, used for security, debugging, and improving the product.

Waitlist and contact information

If you join our waitlist or contact us, we store the email address and details you submit so we can respond and keep you informed.

Community submissions

Our Community page accepts three kinds of submission, each handled differently:

For all three, we store a one-way cryptographic hash of your IP address — not the address itself — to limit spam and abuse. Attachments are stored on our own servers and are not shared with any third-party service.

3. Google User Data

LifeOS integrates with Google services through Google's OAuth consent flow. We only request access after you explicitly connect an integration, and we only use each permission for the feature described below:

OAuth access and refresh tokens are stored encrypted and are used solely to provide these features. You can disconnect any integration at any time from within LifeOS or by revoking LifeOS's access at myaccount.google.com/permissions.

4. How We Use Google User Data — Limited Use

LifeOS's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

5. Microsoft 365 User Data

LifeOS integrates with Microsoft 365 through Microsoft's Entra ID consent flow. As with Google, we only request access after you explicitly connect the integration, and we only use each permission for the feature described below:

We do not request access to Outlook mail or your Microsoft calendar. When you ask your assistant about a file, its text is extracted and sent to our AI provider to answer that request, as described under AI Processing below; anything your assistant includes in its reply is saved in your conversation history.

The commitments in the previous section apply equally to data we receive from Microsoft: we do not sell it, use it for advertising, transfer it to data brokers, or use it to train generalized AI models, and humans do not read it without your explicit permission.

OAuth access and refresh tokens are stored encrypted and are used solely to provide these features. You can disconnect Microsoft 365 at any time from within LifeOS, which deletes the stored tokens, or revoke LifeOS's access from your Microsoft account app permissions.

6. Shopify Store Data

LifeOS integrates with Shopify through Shopify's OAuth consent flow. As with Google and Microsoft 365, we only request access after you explicitly connect the integration, and we only use each permission for the feature described below.

Shopify differs from the two above in one way that matters. Google and Microsoft give us your data; Shopify gives us data about your customers— people who have no relationship with LifeOS at all. So this section covers not only what we access and why, but the terms on which we handle other people's personal data on your behalf. Where it differs from the rest of this policy, this section governs Shopify data.

Your role and ours

For data about your own customers, you are the data controller and LifeOS acts as your processor. We process that data only on your documented instructions — which, in practice, are the questions you ask the assistant and the features you switch on. Our obligations as your processor are set out in our Data Processing Agreement.

What we access

With your authorization, LifeOS reads from your Shopify store: orders, customers, products, inventory, locations, and fulfillments. This includes protected customer fields — name, email address, phone number, and shipping or billing address. We request read access only. Permission to change your store (for example, to draft a product listing) is requested separately, at the moment you first use a feature that needs it, and never at install.

Why we access it

Two purposes, and no others:

We do not use your customers' personal data to train models, to build profiles, to market to your customers, or for any purpose of our own.

We do not keep your customer records

LifeOS has no customer database. Data is fetched live from Shopify when it is needed to answer a question, shown to you, and discarded. There is no copy to delete because there is no copy. Our internal audit log records that a query ran and how long it took, with the results themselves redacted rather than stored.

Answering your questions and booking your shipments requires sending some data to service providers:

What is retained, and for how long

We keep no customer records, but two things persist and may quote them. These windows are enforced automatically, not by hand:

Ending the relationship

Uninstalling LifeOS from your Shopify admin revokes our access immediately. Within 48 hours, Shopify instructs us to erase your store record and we delete it, including the stored access token. If a customer of yours exercises a right to erasure, Shopify forwards the request to us and we confirm that we hold no record of them — because we do not.

7. AI Processing

LifeOS features are powered by third-party large language model providers (such as Anthropic and OpenAI). When you interact with our AI assistants, relevant content — for example a chat message, a document excerpt, calendar context, or records from a connected business platform needed to fulfil your request — is sent to these providers over encrypted connections to generate a response. We use these providers under API terms that do not permit them to train their models on your data.

9. Data Storage, Security & Retention

Your data is stored on secure cloud infrastructure. All data is encrypted in transit using TLS, and sensitive credentials such as OAuth tokens are stored encrypted at rest. Database backups are encrypted with a key held off the server. Access to production systems is restricted to named personnel, by key, and is logged. We maintain a written security incident response policy, reviewed annually, and will notify affected customers without undue delay and within 72 hours of confirming a breach of their data.

We keep your data while your account is active, subject to the following maximum periods, which are enforced automatically:

When you delete content, disconnect an integration, or delete your account, the associated data is deleted from our production systems, with residual copies removed from encrypted backups on a rolling basis within 30 days.

10. Your Choices & Rights

Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA. We honor valid requests under applicable law.

11. Cookies & Analytics

Our marketing website uses cookies and similar technologies for analytics and advertising measurement (for example, the Reddit Pixel), which help us understand how visitors find and use the site. The LifeOS application itself uses cookies solely for authentication and session management.

12. Children's Privacy

LifeOS is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

13. Changes to This Policy

We may update this policy as LifeOS evolves. Material changes will be announced on this page with an updated "Last updated" date, and where appropriate, by email.
